Are you HIPPA compliant?

Yes, we will protect your patient’s information and we screen and monitor all our phone agents. We use a secure system that protects all access to your practice’s information. 

What if a patient asks you a question about billing or insurance?

With confidence we use scripting that encourages the patient to schedule an appointment and assures them their question will be answered in a timely manner. For example: “Our billing coordinator would be the best person to answer that question for you. She is assisting another patient at this time. Let’s get you scheduled to come in for your cleaning and I will have her give you a call ahead of time to go over your billing questions. Does Monday or Friday work better for you?”

How do you ensure quality control?

We consistently monitor phone calls to make sure our team is providing the best customer service possible. Our team also participates in ongoing dialog training. We would be happy to send you some mock calls so you can review our dialog.

Will my patients know I am outsourcing?

Typically, no. We address ourselves just like a member of your team. Most of the time patients have no idea we are third party. We truly view ourselves as an extension of your office.

How does the money back guarantee work?

We set an appointment goal for your practice based on the size of your recall list. If we don’t reach that goal we will prorate your next month’s bill for any appointments we didn’t schedule. 

Am I locked into a contract?

No. We don’t have any long term contracts.

Do you have references?

Absolutely. Call us today and we will send you doctor and office manager’s names for clients we currently work with.

How will I know who you have talked to?

We leave notes in your practice management software and we will send you monthly reports showing you exactly who we spoke with and who scheduled an appointment. 

Can my staff still work recall?

Absolutely! We can work hand in hand with your existing recall system to ensure we reach all your overdue patients.

What if someone you schedule cancels their appointment?

While we can guarantee the number of appointments scheduled, we unfortunately cannot guarantee patients will keep their commitments. But we do strive to set solid appointments. We make sure to remind each patient we schedule of your practice’s specific cancellation policy and ask that your team holds them accountable to that as well.
